1. Who we are

The Wedding Experience is a wedding planning and event management brand of The Wedding Experience ("we", "us"), based in Chennai, India.

This policy explains how we collect, use and protect personal data when you visit theweddingexperience.in, contact us, or use our services.

We work with clients from all over the world. We handle personal data in line with India's Digital Personal Data Protection Act, 2023 and, where they apply, the privacy laws of the country you live in.

2. What we collect

Contact details: name, phone number, email and address.
Event details: dates, venue preferences, budget, guest count, ceremony and other requirements.
Guest details shared by the client: names, contact details, travel and stay details, and meal preferences.
Travel and ID details, where a hotel, airline or the law requires them.
Special requirements you choose to share, such as dietary, accessibility or health needs.
Photos and videos taken at events.
Billing details.
Messages and feedback you send us.

If you give us details of other people, such as your guests, please make sure they know you are sharing them with us.

3. How we use it

To respond to enquiries and send quotes.
To plan and deliver your event under our client contract.
To coordinate with venues, vendors and guests.
To process payments and keep accounts.
To send you updates about our services, if you have agreed to receive them.
To meet legal obligations.

We use your data with your consent, to perform our contract with you, to meet legal requirements, or where we have a genuine business need that does not override your rights. We ask for your explicit consent before using sensitive details such as health information.

4. Who we share it with

We do not sell personal data. We share it only where needed:

Venues, hotels and vendors working on your event, limited to what they need.
Service providers that help us run our business, such as email, cloud storage and payment providers.
Government or law enforcement authorities, where the law requires it.

Our team is in Chennai, so your data is processed in India. If your event is in another country, we share the relevant details with venues and vendors there. Some of our service providers may store data on servers outside India.

5. How long we keep it

Enquiries that do not lead to a booking - 2 years from last contact
Client and event records - 3 years after the event
Guest lists and travel details - 6 months after the event
Copies of ID documents - Deleted within 30 days after the event
Invoices and accounting records - 8 years, as required by Indian law
Event photos and videos - 2 years after delivery to the client; portfolio images until permission is withdrawn
Marketing contact list - Until you unsubscribe

After these periods, we delete or anonymise the data.

6. How we protect it

Only team members who need your data for your event can access it.
Our business accounts are protected with strong passwords and two-factor authentication.
Data is stored on secure cloud services that encrypt it in storage and in transit.
Team members and vendors are bound by confidentiality obligations.
ID documents are kept in a restricted folder and deleted after use.
We do not store card or bank details. Payments are processed by our payment provider.
We regularly review the data we hold and delete what we no longer need.

If a data breach affects your personal data, we will inform you and the relevant authorities as required by law.

7. Event photos and videos

We share event photos and videos with the client. We use them on our website and social media only with the client's permission. Anyone can ask us to remove a photo of themselves by emailing admin@theweddingexperience.in.

8. Marketing

We send marketing messages only if you have agreed to receive them. You can unsubscribe at any time using the link in our emails or by emailing us.

9. Cookies

Our website does not currently use cookies or analytics tools. If this changes, we will update this policy and ask for your consent where required.

10. Children

Our services are for adults. We collect children's details, such as a child guest's name or meal preference, only through a parent or guardian.

11. Your rights

You can ask us to:

tell you what personal data we hold about you and who we have shared it with;
correct or update it;
delete it, unless we must keep it by law;
stop using it for marketing;
withdraw your consent at any time.

Email admin@theweddingexperience.in and we will respond within 30 days. Depending on where you live, you may have further rights under your local law, including the right to complain to your local data protection authority.

We will acknowledge complaints within 48 hours and aim to resolve them within 30 days. If you are not satisfied with our response, you can approach the Data Protection Board of India or your local data protection authority.
